What it does
- Create a Zoom meeting from any meeting in Root Digit CRM. It gets the meeting's time, length, name and agenda, and its join link is saved on the meeting, ready to send to the people coming.
- Keep it in step. Change the meeting's time in the CRM and press the button again: the same Zoom meeting moves. Nothing new is created.
- Know it happened. When the Zoom meeting ends, the meeting's timeline in the CRM says when it was held and for how long.
The app only creates and updates the Zoom meetings you ask it to. It does not read your other meetings, your recordings, your chats or your contacts in Zoom.
Before you start
- A Root Digit CRM workspace on a paid plan. Connecting other software is part of the paid plans.
- An administrator of that workspace, to connect Zoom.
- A Zoom account. Meetings are created in the Zoom account that is connected.
Add Zoom
- Sign in to Root Digit CRM as an administrator.
- Open Settings › Integration hub and find Zoom under Meetings.
- Press Connect Zoom. Zoom opens and asks you to sign in.
- Zoom shows what Root Digit CRM is asking for. Press Allow.
- You come back to the Integration hub, and the Zoom card says Connected, with the Zoom account's email.
Root Digit CRM's page on the Zoom App Marketplace points here: Zoom is always connected from inside your workspace, as above, so the connection is made for the workspace you are signed in to.
Use it
- Open a meeting in Root Digit CRM — from the Calendar, for example — and stay on its Overview.
- In the Zoom panel, press Create a Zoom meeting. The join link appears straight away and is kept on the meeting.
- The host's start link is shown once, right after the meeting is made, and is not saved: anyone who opens it joins as the host. Use it, or start the meeting from your Zoom app as usual.
- Moved the meeting? Change its date or time in the CRM, then press Update the meeting in the Zoom panel.
- After the meeting, its timeline shows a line such as “The Zoom meeting was held, 10:02–10:40 (38 minutes)”.
What the app can see and keep
Root Digit CRM asks Zoom for these permissions, and uses each only as described:
- Create a meeting and update a meeting: to make the Zoom meeting you ask for, and to move it when you change the time.
- View a meeting and view a user's meetings: to read back the meetings the app made.
- View a user: to show which Zoom account is connected, and to recognise Zoom's messages about that account.
What is kept: the Zoom meeting's number and join link on your CRM meeting, and when it was held. The keys Zoom gives the app to act for you are stored encrypted and are never shown to anyone. Nothing from Zoom is shared with anyone else. See the Privacy Policy for how we handle personal information and how to use your rights to it.
Remove Zoom
Either of these works, and each one removes the app from both places:
- In Root Digit CRM: Settings › Integration hub › Zoom › Disconnect.
- In Zoom: sign in to the Zoom App Marketplace, open Manage › Added Apps, find Root Digit CRM and press Remove.
Either way, Zoom takes back the app's access, the keys Zoom gave the app are deleted straight away, and no more Zoom meetings can be created from the CRM. Meetings already created stay in Zoom and in the CRM, as they are, so nobody loses a join link they were sent.
